How to Handle SLA Credits

Service Level Agreements define performance guarantees (uptime percentage, response time, resolution time). When you miss an SLA target, the client is entitled to a credit:

  • Document the miss: Reference the specific SLA metric, the target, and the actual performance.
  • Apply the credit on the next invoice: Show it as a negative line item with a clear description.
  • Don’t wait for the client to request it: Proactively applying SLA credits builds trust and demonstrates accountability.

Hardware Markup Best Practices

  • Standard markup: 10–20% over your cost is standard for hardware procurement. This covers your sourcing time, configuration, deployment, and warranty management.
  • Show the total price, not your cost + markup: Clients don’t need to see your margin. Bill the hardware at a single per-unit price.
  • Include configuration and deployment: If you image laptops, configure firewalls, or rack servers, this labor can be either included in the unit price or billed separately.
  • Attach the vendor invoice if requested: Some corporate clients require vendor invoices for asset tracking. Provide them with the cost redacted if necessary.

8 Invoicing Tips for IT Service Providers

  1. Bill managed services in advance. The retainer covers the upcoming month’s services, not the previous month’s. This protects your cash flow.
  2. Separate recurring from one-time charges. Managed services, break-fix, and hardware should each be their own section on the invoice.
  3. Reference the SLA tier on the invoice. Note which service tier the client is on (Bronze/Silver/Gold) so there’s no confusion about included vs. out-of-scope work.
  4. Track ticket numbers for break-fix work. Reference the helpdesk ticket number in each line item description for audit trail purposes.
  5. Include user/device counts. Show the current count of users and devices covered. If the count changed mid-month, prorate accordingly.
  6. Invoice hardware separately for large purchases. A $15,000 hardware order on the same invoice as a $5,000 monthly retainer can delay the entire payment. Send separate invoices.
  7. Set up automatic payment reminders. MSP invoices are often processed through corporate AP departments. Automated reminders keep them on track.
